Fulfilling at the right moment is the single biggest control a seller has. This guide states the signal to wait for and how to record what you did.
The signal to wait for
Fulfil once the transaction shows payment safeguarded and moves to ready for fulfillment. A message from a buyer claiming they have paid is not the signal — the transaction record is.

Recording fulfilment
- Record fulfilment on the transaction as soon as the order leaves you.
- Attach the delivery or collection reference where one exists.
- For services, attach the deliverable or a note of where it was handed over.
Recording fulfilment moves the transaction to awaiting buyer confirmation and starts the buyer's review window.
If you cannot fulfil in time
Say so on the transaction rather than letting it run silently. An unfulfilled transaction does not release, and an unexplained delay is the most common trigger for a reported problem.
